PRIVACY POLICY
The One Here Foundation respects the privacy of people who request assistance, refer someone, contact us, or support our work. This policy explains the information collected through theonehere.org and how it is used.

INFORMATION WE COLLECT
Assistance requests may include a name, email address, optional phone number, city, state, ZIP code, type of help needed, an explanation of the situation, an estimated amount, and timing information.
Referrals may include the referrer’s name, email address, organization, and relationship to the person referred, along with the referred person’s or family’s name, contact information, location, type of need, situation, estimated amount, timing, and whether the person agreed to the referral.
Contact inquiries may include a name, email address, optional phone number, organization, selected topic, and message.
When someone donates, donation and payment information is submitted through the Fundraise Up giving experience. Eligible charitable gifts are administered through the Institute for Education, Research, and Scholarships (IFERS), the Foundation’s fiscal sponsor, which provides applicable charitable receipts.
The website may also collect technical information such as an IP address, browser or device information, pages visited, and interactions with the site through cookies and similar technologies.
HOW WE USE INFORMATION
Information may be used to review and respond to assistance requests and referrals, communicate with people who contact the Foundation, coordinate practical support, administer donations and receipts, protect forms from abuse, maintain the website, and understand how visitors use it.
SERVICE PROVIDERS AND SHARING
Squarespace hosts the website and its forms. Fundraise Up provides the online giving experience. IFERS administers eligible charitable gifts and related receipts as the Foundation’s fiscal sponsor. Google Analytics helps measure website use, and Google reCAPTCHA helps protect forms from automated abuse.
These providers may process information as part of delivering their services. Their own privacy terms may also apply.
When needed to review a request, coordinate assistance, confirm a referral, or connect someone with practical support, the Foundation may share the minimum information reasonably necessary with a referral partner, community organization, service provider, vendor, or volunteer involved in that specific support effort. Assistance and referral information is not shared more broadly than reasonably necessary for that purpose.
The Foundation does not sell or rent personal information. The Foundation does not disclose assistance or referral information to third parties for their own advertising or marketing purposes.
PUBLIC ASSISTANCE-CASE SUMMARIES
The website publishes generalized summaries of assistance cases using case IDs and limited details such as a broad location, need category, estimated amount, and status. The current summaries reviewed for this policy do not display names or direct contact information.
Before a case summary is published, the Foundation reviews it to remove names, direct contact information, precise addresses, and other details that could unnecessarily identify the person or household. The Foundation publishes only the limited information reasonably needed to describe the need and document its work. When a proposed summary would include information that could reasonably identify a specific person or child, the Foundation will obtain permission from the adult requester or, for a minor, a parent or legal guardian before publication.
COOKIES AND ANALYTICS
Squarespace and connected services may use cookies or similar technologies to operate the site, remember preferences, measure traffic, process donations, and protect forms. The site currently uses Squarespace, Google Analytics, Fundraise Up, and Google reCAPTCHA where applicable. Visitors can use the site’s Cookie Preferences control to review available choices.
RETENTION
The Foundation keeps assistance, referral, contact, donor, and website records only for as long as reasonably necessary for the purposes described in this policy and for legitimate administrative, accounting, legal, grant or fiscal-sponsorship, fraud-prevention, and recordkeeping needs. When information is no longer reasonably needed, the Foundation may delete it or de-identify it where practical. Retention periods may differ depending on the type of record and any requirements that apply to the Foundation, IFERS, payment processors, or other service providers.
PRIVACY QUESTIONS, CORRECTIONS, OR DELETION REQUESTS
Use the Contact page to ask a privacy question, request a correction, or ask that personal information be deleted. The Foundation will review the request and respond as appropriate.
Privacy requests are handled by The One Here Foundation. A deletion request may not result in deletion of every record when information must reasonably be retained for legal, tax, accounting, donation-processing, fiscal-sponsorship, fraud-prevention, transaction, or other legitimate recordkeeping purposes. Where complete deletion is not appropriate, the Foundation may limit use of the retained information to those purposes.
INFORMATION ABOUT CHILDREN
The Foundation’s website forms are intended to be submitted by adults. A parent, legal guardian, family member, school, nonprofit, community organization, service provider, or other responsible adult may submit information about a child when seeking or referring the child or family for assistance. The Foundation does not knowingly ask children to submit assistance, referral, donation, or contact forms directly. Information about children is handled only as reasonably necessary to review the request, coordinate support, maintain appropriate records, and document assistance in a privacy-conscious manner.
CHANGES TO THIS POLICY
This policy may be updated as the website and the Foundation’s practices change. The effective date will be revised whenever the policy is updated.
